Terms and Conditions of attendance in International Student Petroleum Congress & Career Expo 'EAST
MEETS WEST' 2017
I GENERAL TERMS
1. These Terms and Conditions apply to the participation in'East meets West' International Student
Petroleum Congress & Career Expo 2017,referred as Congress
2. Terms and Conditions concerns students who take part in Congress, referred as Participants.
3. Congress is organized by SPE AGH UST Student Chapter in Krakow in cooperation with 'WiertnictwoNafta-Gaz, Nauka i Tradycje' Foundation, referred as Organizers.
II CONDITIONS OF PARTICIPATION IN CONGRESS
1. During Congress,three different contests will be held:
a. Student Paper Contest.
b. Poster Session.
c. Petrobowl.
2. Attendee Requirements:
a. For Student Paper Contest:

b. For Student Poster Session:
Submitting an online application form available at www.emwcongress.org website in
Registration/Students or Registration/Professionals overlay within the deadline specified by Organizer.
c. For Petrobowl Contest:
Terms and Conditions are available on Congress websitewww.eastmeetswest.org.
d. All participants must accept Terms and Conditions of participation in 'East meets West' International
Student Petroleum Congress and Career Expo, referred as Regulations.
e. The number of student participants is limited, confirmations order after announcing Abstracts
Contests results affects the participation acceptance. Number of students from one university also
decides about acceptance.
f. Participation fee for:
-Student Paper and Poster Contestants is 15€,
-Participants of the Petrobowl Contest- 30€.
-Auditors- 45€.
g. Postgraduates and Professionals pay 200€ entrance fee to all workshops and evening events. 3. Withdrawal from the Congress is possible after Organizer confirmation.
4. Organizer is obliged to provide all student participants with:
a. five overnight stays on 03/04, 04/05, 05/06, 06/07, 07/08 IV 2017.
b. four breakfasts on 04/05/06/07 IV 2017.
c. four lunches on 04/05/06/07 IV 2017.
5. In case of Congress cancelation Organizer does not cover any costs made by participants.
6. Organizer does not provide with insurance for participants.
II TERMS OF PARTICIPATION IN STUDENT POSTER SESSION
1.Congress student participants have the right to take part in Student Poster Session.
2.Sending an Abstract, which meets all the requirements (available on the website,
www.emwcongress.org) through the online form is equivalent to report to the Student Poster Session.
3.Jury chosen by Organizer decides which abstracts are qualified to the contests.
4.All student participants will be informed about results by Organizer within three weeks after the expiry
of the sending application forms date through e-mail.
5.Jury decides which Abstracts were qualified to Student Poster.
6.Participants, whose papers were qualified to Student Poster Session are obliged to prepare poster,
which meets all of the requirements specified in the message from Organizer and print it before the
Congress.
7.Posters are judged by separate juries consisting of industry representatives, and AGH University of
Science and Technology research workers.
8.Authors of the best Student Poster Sessions poster will be rewarded.
9.All contest participants will receive certificates.
IV PRESENCE DURING CONGRESS:
1. Every participant is obliged to register on the day before the official Congress opening or during the
first day in determined by Organizer time. Participation in Congress without the registration is
impossible.
2. During the registration each participant will receive congress materials and attendee badge.
3. Attendee badge with participant name is the condition of taking part in every event during the
Congress.
4. Participant must not give badge to the third party under the penalty of refusing participation in
Congress.
5. Each participant is committed to the punctual arrival to every event during the Congress. If the
participant does not meet this requirement for any reason, it might result in an immediate refusal of
participation in Congress.
6. Each Student Participant is obliged to obey all regulations in the accommodation area during the
Congress, (Hostel Terms and Condition and Hostel Day Regulations), which is available at the reception
desk- check-out must be until 10 a.m.
V OTHER
1. Organizer is not responsible for things lost during the Congress.
2. All the participants give the Organizer rights to use any films and pictures made during the Congress
for promotional purposes.
3. Organizer stipulates the rights to make changes in the Congress Agenda.
4. Organizer stipulates the rights to make changes in Terms and Conditions, simultaneously is obliged to
inform all participants of all changes.
5. Participants are responsible for all damage caused by them in the Congress area as well as for any
harm they caused on their own and other participants health.
VI FINAL PROVISIONS
1. Terms and Conditions becomes effective from 1 XI 2016.
2. All information concerning accommodation, agenda and Congress will be available on the Congress
website (www.emwcongress.org ).
3. All doubts in interpretation this regulation will be settled by SPE AGH UST Student Chapter board.
